We currently collect and process the following information:

Events that you have attended with us or with an employee of BoonBrown.

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• We need it to undertake a project (Performance of Contract), because you are involved with one of our projects as a member of the external team.
• We need it to comply with a legal obligation (Legal Obligation), e.g. If you are involved with one of our projects as a member of the external team, we are required to retain your details for a minimum period of the duration of the contract i.e. for 6 years for a signed contract or 12 years for a contract signed under deed or under seal.
• You have granted consent (Consent) that we may process your personal data to provide you with newsletters or tailored invites to events.

How we use the information that you have given us:

• To undertake a project(s) for which you are a member of the external team.
• To invite you to our networking events.
• To provide you with newsletters, only if we have received your consent to do so.
• We may share this information with facilitators of our group mailing list, to which you have consented and who shall have demonstrated GDPR compliance (Mailchimp).
• We might share your personal information with legal and/or professional advisers or other experts we work with if we need their advice on matters related to you, or in the course of dealing with legal disputes with you or your company.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

• We have a contractual obligation.

Your information is securely stored.

To comply with contract terms and potential legal needs, we retain your project details for a minimum of 6 years (or 12 years for agreements under seal). Beyond that, specific legal circumstances might necessitate holding your data for up to 15 years after project completion. Additionally, for transparency and future inquiries, we generally store basic project information.

Your consent for receiving event invitations and newsletter updates (provided outside of project involvement) is valid for approximately 2 years, after which we will seek your renewed consent to continue communication.

Your newsletter signup info stays with us (through Mailchimp) until you say otherwise. We’ll regularly ask you to review your consent and how to withdraw it in our emails. If you unsubscribe, we’ll completely delete your data, unless specific data protection laws allow us to keep some of it. Learn more about these exemptions on the ICO website. https://ico.org.uk/
